Terms of Service
These terms govern your use of ResumeHQ. We've written them to be readable — the important parts are that you own everything you create, and that we can't promise a resume gets you a job.

1. The agreement
These Terms of Service form a binding agreement between you and ResumeHQ ([Registered address — replace before launch]), the operator of ResumeHQ. By creating an account or using the service you accept them. If you do not accept them, please do not use the service.
Our Privacy & Cookie Policy forms part of this agreement and explains how we handle your personal data. Where these terms and that policy conflict on a data-protection question, the Privacy Policy governs.
2. What we provide
ResumeHQ is a web application for creating, editing, and exporting resumes and cover letters. It includes a template catalogue, a live editor, applicant-tracking-system compatibility scoring, and optional AI-assisted writing tools.
The core service is provided free of charge. Building a resume and downloading it as a PDF costs nothing, and we do not apply watermarks to your exports or require a subscription to download.
3. Your account
You need an account to save your work. You must be at least 16 years old — or older, if your country sets a higher age for consenting to data processing — and you must provide an email address you control.
- Keep your password confidential. You are responsible for activity under your account, except where it results from our own failure.
- One person per account. Do not share credentials or let someone else use your account.
- Tell us promptly through our contact form if you believe your account has been accessed without your permission.
- Do not impersonate anyone, or register using an email address you are not entitled to use.
We will never ask for your password. Any message that does is not from us.
4. Your content stays yours
You own everything you create. We claim no ownership of your resumes, cover letters, or any text, work history, or images you enter.
To operate the service we need a narrow permission to handle that content on your behalf. You therefore grant us a limited, non-exclusive, worldwide, royalty-free licence to store, reproduce, transmit, and render your content strictly for the purposes of:
- saving your work and showing it back to you;
- rendering previews and generating PDF and Word exports;
- running an AI or ATS-scoring operation that you initiate;
- making your resume viewable to anyone you deliberately give a share link to.
That licence exists only to run the service for you, and it ends when you delete the content or your account. It does not permit us to publish your resume, use it in marketing, sell it, or use it to train AI models — and we do not.
You are responsible for what you put in. By submitting content you confirm it is accurate to the best of your knowledge, that you have the right to use it, and that it does not infringe anyone else’s rights.
Testimonials
If you submit a rating or testimonial, you grant us permission to publish it on the site attributed to your first name and last initial. You can withdraw that permission at any time through our contact form.
5. Our templates and software
The application, its source code, its design, the ResumeHQ name and logo, and the template designs themselves remain our property or that of our licensors. Nothing in these terms transfers those rights to you.
You may use the templates to produce your own resumes and cover letters, and you may use the resulting documents for any lawful purpose, including commercially — applying for jobs, sending to recruiters, publishing on your own site. That is the point of the product.
What you may not do is compete with us using our own work:
- Redistribute, resell, or sublicense the template designs as templates.
- Copy the designs into another resume builder or template marketplace.
- Extract the catalogue in bulk to create a competing or derivative service.
6. Acceptable use
The service is free and shared, so a small amount of abuse degrades it for everyone. You agree not to:
- Break the law, or use the service to infringe someone else’s rights.
- Attempt to gain unauthorised access to any account, server, or data — including probing, scanning, or testing our security without our written permission.
- Scrape, crawl, or harvest the service in bulk, or use automated tools to create accounts or generate content at scale.
- Circumvent rate limits, usage quotas, or any technical restriction we apply.
- Upload malware, or content that is unlawful, defamatory, harassing, hateful, or sexually explicit.
- Interfere with the service’s operation or place a disproportionate load on it.
- Reverse-engineer, decompile, or attempt to derive the source code of any part of the service, except to the extent the law expressly permits it.
- Resell or commercially exploit access to the service itself.
We apply rate limits and an AI fair-use quota to protect availability. These are operational safeguards, not entitlements, and we may adjust them.
7. AI features
The AI tools draft, rewrite, and review text at your request. Some important limits, which you accept by using them:
- Output is generated, not verified. AI systems can produce text that is confident and wrong. You must review everything before using it.
- You remain responsible for accuracy. Never let AI output describe experience, qualifications, or employment you do not have. Misrepresentation on a resume is your risk, and it can cost you a job offer or your employment.
- Using AI features sends your text to a third party. The AI features section of our Privacy Policy explains exactly what is transmitted and to whom. The builder works fully without these features.
- Availability is not guaranteed. AI features depend on external providers and are subject to a fair-use quota. They may be unavailable, rate-limited, or withdrawn.
- ATS scores are guidance, not prediction. The score estimates how well a parser is likely to read your document. It is not a measure of your candidacy and no employer sees it.
8. Availability and changes
We aim to keep the service running and reasonably fast, but we provide it on an “as available” basis and do not offer any uptime guarantee or service level agreement. It may be unavailable for maintenance, or because something has broken, or because a provider we depend on is down.
We may add, change, or remove features. If we plan to remove something significant, or to discontinue the service, we will give account holders reasonable notice and a window to export their content.
9. Suspension and termination
You may stop using the service whenever you like. To have your account and content erased, ask us through our contact form — we will verify the request and then delete it, as described in the Privacy Policy.
We may suspend or terminate your access if you materially breach these terms — in particular section 6 — or if we are required to by law, or if your use threatens the security or availability of the service. Where it is reasonable and lawful to do so, we will warn you first and give you a chance to put things right. For serious or unlawful abuse we may act immediately.
If we terminate your account other than for a serious breach, we will give you a reasonable opportunity to export your content first.
10. Disclaimers
To the fullest extent the law allows, the service is provided “as is” and “as available” without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
We specifically do not warrant that:
- the service will be uninterrupted, timely, or error-free;
- a resume produced here will be parsed correctly by every applicant tracking system — there are many, they behave differently, and they change without notice;
- AI-generated content will be accurate, complete, or suitable for your purpose;
- using the service will lead to any employment outcome.
Nothing in these terms excludes or limits any right you have as a consumer that cannot lawfully be excluded, or our liability for death or personal injury caused by negligence, or for fraud.
11. Limitation of liability
To the fullest extent permitted by law, and subject to the paragraph above, we will not be liable for:
- indirect, incidental, special, consequential, or punitive damages;
- loss of profits, revenue, business, goodwill, or anticipated savings;
- lost or corrupted data, beyond our obligation to take reasonable care (see section 8 on keeping your own copies);
- any loss arising from a hiring decision, a missed opportunity, or an employer’s response to a document created here.
Because the service is provided free of charge, our total aggregate liability to you arising out of or relating to the service is limited to the greater of the amount you have paid us in the twelve months before the claim — which for a free account is nothing — or the minimum sum permitted by applicable law.
12. Indemnity
You agree to indemnify us against reasonable claims, losses, and costs arising from your breach of these terms, from content you submit, or from your unlawful use of the service. This does not apply to the extent the claim arises from our own breach or negligence.
13. Governing law
These terms are governed by the laws of [Governing jurisdiction — replace before launch], and the courts of [Governing jurisdiction — replace before launch] have exclusive jurisdiction over any dispute — except that, if you are a consumer, you keep any right you have to bring proceedings in your country of residence and to rely on its mandatory consumer-protection law.
Before starting formal proceedings, please write to us through our contact form with “Legal notice” as the subject. Most disputes are resolved faster by correspondence than by litigation.
14. General terms
- Entire agreement. These terms and the Privacy Policy are the whole agreement between us about the service.
- Severability. If a provision is found unenforceable, the rest continues to apply.
- No waiver. If we do not enforce a provision immediately, we have not waived it.
- Assignment. You may not transfer your rights under these terms without our consent. We may transfer ours as part of a reorganisation or sale of the business, provided your rights are not reduced.
- Changes. We may update these terms. The “last updated” date at the top will change, and for material changes we will notify account holders by email. Continuing to use the service after a change means you accept the updated terms.
- Force majeure. Neither party is liable for a failure caused by events genuinely beyond its reasonable control.
- No third-party rights. These terms do not give anyone other than you and us the right to enforce them.
